Good order notifications sit in between: the right message, on the right channel, at the moments customers actually care about. The messages customers actually want

Failed payments, cancellations and delays deserve a message too, but there's no need to announce internal steps like "packed" or "label created". "Out for delivery" and "delivered" updates usually come from your courier or shipping aggregator, which may already send its own SMS, so check before adding yours. COD confirmation matters most for your margins, because it helps cut refused deliveries; see cash on delivery without losing money.
Email: the record that must arrive
Email remains the home for invoices, full order details and policies, and WooCommerce sends it without extra tools. But by default WordPress sends mail through the web server, and many of those messages land in spam or never arrive.

WhatsApp: manual or the Business API?
Many Indian shoppers check WhatsApp long before email. There are two ways to use it for orders.
Manually, with the WhatsApp Business app
For a handful of orders a day, the team can message customers from the app, using quick replies for common updates. Some plugins add a click-to-chat button on the order screen with a pre-filled message. It's free and personal, but it depends on someone remembering, and it doesn't scale.
Automatically, with the WhatsApp Business Platform (API)
- Usually set up through a provider, often with a WooCommerce plugin that sends a message when an order changes status
- Messages sent outside the 24-hour window after a customer's last message must use templates approved in advance, with variables such as name, order number and tracking link
- Order updates generally belong in the utility template category; adding offers can get a template rejected or reclassified as marketing
- Templates can carry buttons, useful for "Confirm order" and "Cancel order" on COD orders, with the reply recorded against the order if your provider supports it
- Meta charges for many message types, on top of any provider fees, and its pricing model has changed before; check current rates

SMS in India: DLT registration first
SMS still earns its place: it works on any phone, without mobile data, and doesn't depend on the customer using WhatsApp. But business SMS in India falls under TRAI's rules on commercial communication, which generally mean:
- Registering your business as a principal entity on a telecom operator's DLT (Distributed Ledger Technology) platform
- Registering a sender ID (the header), the short name that appears instead of a phone number
- Registering every message template, with placeholders for variables like the order number; order updates are generally treated as service messages, and offers as promotional
- Matching templates exactly: messages that don't match a registered template are typically blocked
- Checking links: TRAI has also tightened rules on URLs in SMS, so tracking links may need to be whitelisted
These rules have been updated several times, so check the current requirements with your SMS provider, who can usually guide you through registration. Allow time for approvals before launch.
Opt-in, and not spamming
- Ask at checkout: a clear option such as "Send my order updates on WhatsApp". Meta's policies expect opt-in, and India's DPDP Act points the same way; check current requirements with your CA or lawyer.
- Keep order updates about the order. Squeezing offers into them annoys customers.
- Treat marketing separately, with its own consent and an easy way to stop.
- Don't duplicate channels. One WhatsApp or SMS per key moment is plenty, alongside the email.
- Mind your reputation. On the API, blocks and reports can lower your number's quality rating and limit how many messages you can send.
Setting it up in WooCommerce
- Map your order statuses and decide which ones trigger a customer message; add a "Shipped" status if "Completed" doesn't fit your process
- Choose a provider for SMS, WhatsApp or both; many offer a WooCommerce plugin. Pick one that is actively maintained, logs every message and supports your approved templates.
- Collect phone numbers cleanly: make the phone field required, validate Indian mobile numbers and store them with the country code
- Add tracking details to each order, manually or through your shipping aggregator, so the "Shipped" message carries a working link
- Test every path: prepaid, COD, failed payment, cancellation and refund
- Watch the logs and costs for the first few weeks, and fix failed messages quickly
