For many Indian businesses, most enquiries never touch the contact form. Customers tap the phone number or the WhatsApp button, have a conversation, and the website gets no credit. If you're spending on ads or SEO, that's a real problem: you can't tell which pages, keywords or campaigns actually make the phone ring. Here's how to track calls and WhatsApp chats, from free basics to dedicated call tracking numbers.

Why phone and WhatsApp leads go missing

Analytics tools see what happens on your website, not what happens on your phone. A visitor might:

  • Tap a click-to-call number on their mobile
  • Read the number on a desktop screen and dial it from their phone
  • Open WhatsApp from your button, or save your number and message you days later
  • Find your number on Google Business Profile without visiting the site at all

Each needs a different approach, and no method catches everything. The aim is a reasonably reliable picture, not perfection.

Level 1: Track clicks on call and WhatsApp buttons

This is the free, essential starting point. Every phone number on your site should be a tap-to-call link, and every WhatsApp button should use a proper click-to-chat link. Then record each click as an event in Google Analytics 4:

  • Call clicks: fire an event such as contact_call when someone taps a phone link
  • WhatsApp clicks: fire an event such as contact_whatsapp when the button is clicked
  • Mark both as key events so you can see which pages and traffic sources produce them

The limitation: a click shows intent, not a conversation. Someone may tap and hang up, the call may go unanswered, or the caller could be a supplier or job seeker. Desktop visitors who dial manually aren't counted at all.

Level 2: Tag WhatsApp chats with pre-filled messages

WhatsApp click-to-chat links can include a ready-made first message. Use a different one per page or campaign, for example "Hi, I'm enquiring about AC servicing" on a service page and slightly different wording on an ad landing page. When the chat arrives, you know where it came from, even if the visitor edits a word or two.

Level 3: Call tracking numbers

Call tracking uses separate virtual phone numbers that forward to your real number, so every call is logged against a source. There are two main types.

Static tracking numbers

One number per channel: one on the website, one in a newspaper ad, one on a hoarding or pamphlet. Simple, and useful for measuring offline marketing too.

Dynamic number insertion

A script on your website swaps the displayed number depending on how the visitor arrived (Google Ads, organic search, Facebook and so on), sometimes down to the individual visit. Calls from desktop visitors who dial manually are matched to a source too.

Call tracking services usually add a call log, recordings, missed-call alerts and reports. Many Indian cloud telephony providers offer virtual numbers, IVR menus and call recording; features and pricing vary, so check current plans. Google Ads also has its own reporting for calls made directly from ads, though the options available depend on your country and account.

A few practical points are worth weighing. Many customers save a business number and call back weeks later, or pass it to family and friends, so a tracking number can keep ringing long after a campaign ends. Some people hesitate to call unfamiliar numbers, so a recognisable mobile or landline can feel more trustworthy. And if your business runs on the owner's mobile, moving to forwarded virtual numbers is a bigger operational change than it sounds.

Don't damage your local SEO

Your phone number is part of your business identity across Google Business Profile, directories and your website. Swapping it everywhere for a tracking number can create inconsistent listings. Safer habits:

  • Keep one main number consistent across your profile, directories and site footer
  • If you put a tracking number on Google Business Profile, keep your main number as an additional number, and check Google's current guidelines first
  • With dynamic insertion, keep your main number in the page's structured data and let the script change only what visitors see

Call recording and privacy

Recordings are useful for training and resolving disputes, but tell callers the call may be recorded (a short message at the start usually does this), limit who can listen, and delete recordings you no longer need. Mention call tracking and recording tools in your privacy policy. Rules on recording and personal data can change, so check current requirements or ask a lawyer.

  2. If you run ads: count call and WhatsApp clicks as conversions alongside forms, and use page-specific WhatsApp messages
  3. If calls are your main source of business and ad spend is significant: trial a call tracking service on one campaign before rolling it out
  4. Always: keep a simple lead log (a spreadsheet is fine) with the source, date and outcome of every enquiry
