Most small businesses in India already grow through word of mouth. A happy customer tells a neighbour, forwards your number to a WhatsApp group or recommends you at a family function. A referral programme doesn't replace that. It makes recommending you easier, gives people a reason to do it now, and shows you which customers are sending work your way. Here's how to set one up on your website without it turning into a discount leak.

Is a referral programme right for your business?

Referral programmes work best when:

  • Customers are genuinely happy. A reward won't make people recommend a business they wouldn't recommend anyway.
  • Your customers know people like them, such as parents at the same school or families in the same housing society.
  • A new customer is worth enough that you can share some of that value as a reward.
  • Buying depends on trust, as it does for home services, tuition, salons, D2C brands and B2B suppliers.

If reviews are mixed or complaints are common, fix the service first. Referrals amplify whatever experience you already give.

Choose a reward that fits

The most common structure is two-sided: the new customer gets something on their first order, and the person who referred them gets something once that order is complete. It feels fair to both sides.

Keep the reward well within what a new customer is worth to you after costs, and simple enough to explain in one sentence.

How referrals are tracked

You need a reliable way to connect each new customer to their referrer. Many businesses combine these methods:

  • Referral codes: each customer gets a unique code that friends enter at checkout or mention when enquiring. Codes work well when people share by WhatsApp, phone or in person.
  • Referral links: each customer gets a personal link, and the site remembers the referrer (usually with a cookie) for a set period. Convenient, but the link is lost if the friend switches devices or later searches for you on Google.
  • A "referred by" field: an optional field on your enquiry form asking who recommended you. Low-tech, but it works for service businesses.

Don't use customers' phone numbers as codes; a short code based on a first name plus a few characters is easy to share and keeps personal details private. If you promote the programme through campaigns, tag links with UTM tags so referral visits show up clearly in Google Analytics.

Setting it up in WooCommerce

If you sell online with WooCommerce, there are options from manual to fully automated:

  1. Manual coupons: create a coupon for each referrer with limits such as usage per customer and minimum spend, and reward referrers by hand. Fine for trying the idea with a small group; see WooCommerce coupons and discounts for the restrictions available.
  2. A referral plugin: tools such as the Refer a Friend add-on for AutomateWoo can create referral codes or links, give the friend a discount and reward the referrer automatically. Other referral plugins exist; compare features, reviews and how actively they're updated.
  3. An affiliate plugin: plugins such as AffiliateWP are built for affiliates and creators, but can be adapted for customer referrals with commission tracking.

Check current features and pricing of any paid plugin. Before launching, place a test order through a referral link and check how the plugin handles cancellations, returns and cash-on-delivery refusals.

Referral programmes for service businesses

You don't need an online store. For a cleaning company, pest control business, tuition centre or interior designer, a simple setup works:

  • A "Refer a friend" page explaining the offer, the reward and the rules in plain words
  • An optional "Who referred you?" field on your enquiry form
  • A spreadsheet or CRM recording each referral, its status and when the reward is due
  • A clear trigger for the reward, such as when the referred customer's first job is completed and paid for

Avoid forms that ask customers to submit friends' phone numbers for you to call. The friend hasn't agreed to be contacted. Give your customer something easy to forward instead, so the friend contacts you when ready.

Make sharing easy with WhatsApp

Most referrals in India will be shared on WhatsApp, so design for it:

  • A "Share on WhatsApp" button on the referral page or customer account that opens WhatsApp with a short, friendly pre-written message containing the customer's link or code, which they can edit before sending.
  • Ask at the right moment: on the order thank-you page, in the delivery confirmation or after a job is finished, when the customer is happiest.
  • Add offline prompts: a card in the parcel or with the invoice, with a QR code that opens the referral page.

Only message customers who have agreed to hear from you, and don't keep sending reminders.

Rules, fraud and professional limits

Publish short terms on your referral page and apply them consistently:

  • Reward only completed purchases. For online stores, wait until the return window has passed and the order hasn't been cancelled or refused on delivery.
  • Block self-referrals. Watch for the same address, phone number or payment details behind "new" customers.
  • Cap rewards per customer, at least while you learn how the programme behaves.
  • Keep codes from going public. Codes posted on coupon websites become open discounts, so limit how many times each can be used.
  • Keep reviews separate. Offering rewards in exchange for Google reviews goes against Google's policies, so never link the two.
  • Check professional rules. Some professions, including doctors, advocates and chartered accountants, have rules that restrict paying for referrals or soliciting work. Advocates, for example, should read what the Bar Council rules allow and check with their professional body first.
  • Ask your CA how rewards and discounts should be recorded for tax.

Measure and improve

After a couple of months, compare how many customers shared, how many referrals became paying customers, and what rewards cost against the new business. If few people share, the reward may be too small or the offer too complicated. If many share but few friends buy, look at the friend's offer and the page they land on.
