Microcopy is the small text that guides people through your website: button labels, form labels and hints, error messages, confirmation messages and the note that appears when a search finds nothing. It's easy to ignore because each piece is only a few words, but these words sit exactly where a visitor decides whether to act. Here's how to write each type, with before-and-after examples you can adapt.

Button labels: say what happens next

A button should tell visitors what they get when they click. Generic labels like "Submit" or "Click here" make people guess, and guessing creates hesitation.

  • Use the same label for the same action across the whole site
  • Keep one main button per section; secondary actions can be plain links

Form labels and hints

Labels tell people what to enter; hints tell them how, or why you need it. Many form problems come from missing hints.

  • Keep labels visible. Placeholder text inside the box disappears as soon as someone starts typing, so don't use it as the only label.
  • Explain sensitive fields. A short line under the phone field, such as "We'll only use this to reply to your enquiry", answers the obvious worry. Only say it if it's true.
  • Show the format. "Pin code (6 digits)" or "Preferred date, for example 15 March".
  • Mark optional fields. "Company name (optional)" removes doubt faster than a row of asterisks.

Error messages that help people fix the problem

A good error message says what went wrong and how to fix it, in plain words, right next to the field concerned. It never blames the visitor.

  • Show errors when someone leaves a field or presses the button, not while they are still typing
  • Keep everything they have already entered; never clear the whole form
  • Accept common formats instead of rejecting them, such as spaces in phone numbers or a +91 at the start
  • Don't rely on red colour alone; always include the text

Confirmation messages: close the loop

After someone sends a form or places an order, they want to know it worked and what happens next. A bare "Your message has been sent" leaves them wondering.

Empty states and "no results"

An empty state is what people see when there's nothing to show: an empty cart, a search with no matches, a filter that returns nothing. Left blank, it feels like a dead end. Use it to point somewhere useful.

Reassurance right next to the decision

Short lines placed beside a button answer the doubt that stops people clicking:

  • "No spam. We'll only contact you about this enquiry."
  • "Free, no-obligation quote."
  • "Takes about a minute."
  • "Pay by UPI, card or net banking."
  • "Free cancellation up to 24 hours before."

Every one of these must be true. A reassurance you don't honour does more damage than saying nothing, and anything about payments, refunds or cancellations must match your actual policies.

Where to change microcopy in WordPress, and how to test it

  • Form text: button labels, field labels, hints, error and success messages are usually set per form in your form plugin
  • WooCommerce and theme text: labels such as "Add to cart" or "No results found" can often be changed in theme or builder settings, with a translation plugin, or with a small code snippet, without editing core files
  • Consistency: keep a simple list of your standard labels and messages so every new page uses the same wording

To see whether a change helps, track form submissions and button clicks before and after, or run an A/B test on a busy page. Once a month, fill in your own forms on a phone, and ask someone who has never used your site to try one while you watch without helping.
